Privacy Policy

Bolt Tools is a private, internal application used only by employees and authorized staff of Bolt Lighting Rental Inc. ("Bolt Lighting"). It is not offered to the public or to other businesses. These notes describe what the application does with data.

What the application connects to

With your authorization, Bolt Tools connects to Bolt Lighting's own QuickBooks Online company to read its chart of accounts and vendor list, to create vendor bills from invoices Bolt Lighting has received, and (only when an authorized user chooses to) to rename vendors. It also connects to Bolt Lighting's own RentalWorks system and, for sign-in and notifications, to Bolt Lighting's own Slack workspace.

What is stored

• The QuickBooks connection details needed to stay connected (access and refresh tokens, the company id). They are stored on Bolt Lighting's private application server and are never displayed or shared.
• Copies of QuickBooks account and vendor lists and RentalWorks vendor lists, used to match invoices.
• The vendor invoices that staff load into the application (PDF files and the details read from them), and a record of each bill sent to QuickBooks.

How data is used and shared

Data is used only to prepare and enter Bolt Lighting's own accounting records. It is not sold, rented or shared with third parties for their own purposes. Invoices are read by the application's own built-in rules; the application does not use generative AI. The application runs on a hosting provider (Render) that processes data on Bolt Lighting's behalf.

Text messages

Bolt Lighting texts its own employees and day players (freelance crew who have worked with us) to ask whether they can work a given day and to collect a yes or no. People agree to this themselves, with a checkbox, on Bolt Lighting's text sign-up page. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop and HELP for help. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. No mobile information is shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent will not be shared with any third parties.

Access and removal

Only Bolt Lighting staff who sign in through Bolt Lighting's Slack workspace can use the application. The QuickBooks connection can be removed at any time with the application's Disconnect button or from within QuickBooks, which stops all further access.
